Urgent Reminders
Check LEA Administration Windows
LEAs will have access to the CAASPP in the secure test delivery system after 66 percent of the LEA's instructional year has passed or when the LEA's selected test window identified in the Test Operations Management System (TOMS) begins. To check when your LEA's test window opens, navigate to the [Admins] tab in TOMS. For more detailed instructions, visit the Test Administrations for CAASPP: Overview
web page.
Add Users
Add users to avoid any delays when it comes time to test. The Upload Users web page has detailed instructions. The How to Add Users by Batch File Upload
video demonstrates the steps in TOMS. Visit the TOMS User Roles
web page to learn more about the different CAASPP roles.
Confirm User Access
Confirm that test security affidavits have been completed in TOMS. Test administrators and test examiners will not be able to administer tests until the affidavit is signed. To download a list of users who have signed the security agreements and security affidavits, please visit the Download Signed Security Forms Report web page.
Conduct LEA and Site CAASPP Training
Conduct training for site coordinators, and confirm that site coordinators conduct training for test administrators, test examiners, and other site staff with access to the test or testing materials. Use the optional Test Administrator Tutorial to help supplement some local training requirements.

Ongoing Reminders
CAA for ELA Second Scoring
LEAs and schools assigned to Form 5 are required to participate in second scoring for the California Alternate Assessment (CAA) for English language arts/literacy (ELA). Ensure second test examiners are scheduled to be present during the administration of the CAA for ELA to score student responses. For more information, view the following resources:
- Second Scoring Requirement for the CAA for ELA archived email

video
- How to Second Score for the CAA for ELA web document
Parent/Guardian Exemptions
Document Parent/Guardian exemption requests, and enter condition codes into TOMS as outlined in the Edit or Assign a Condition Code web page.
Determine Accessibility Resources for Students
Coordinate with special education and English language development administrators to establish a consistent process to document the selection of accessibility resources for students, including instructions about how these resources are entered and submitted to TOMS. Review the California Assessment Accessibility Resources Matrix with testing staff and share the Individual Student Assessment Accessibility Profile Tool
with staff.
Update Student Test Settings
To learn how to upload student test assignments and student test settings, please visit the Upload Student Updates: Overview web page or view these videos: How to Enter Student Test Assignments by Batch File Upload
and How to Configure Online Student Test Settings by Batch File Upload
.
Unlisted Resources
In rare circumstances, students may require a resource per their individualized education program or Section 504 plan that is not listed in the California Assessment Accessibility Resources Matrix . Unlisted resource requests are only for resources that are not already listed in the matrix. New features in the unlisted resources request process in TOMS include the ability to upload supporting documents, if needed, and a built-in notes and communication feature. For more information, review the Unlisted Resources
web page.
Student Remote Testing Video Permission
Students must have the remote test flag set to "Yes" to allow for communication and video monitoring during remote administration. These students will be presented with the Recording Device Check, the Sound and Video Playback Check, and the Text-to-Speech Sound Check prior to entering the test. Visit the Edit Remote Testing Video Permissions web page for more direction. Remote administration is intended as an option for LEAs only when students are receiving in-person instruction. Students receiving in-person instruction should be tested in person.
Troubleshoot Test Administration
Regularly communicate with, and respond to questions from, site coordinators to ensure that any issues are resolved promptly. A list of CAASPP-related frequently asked questions can be found on the CAASPP Frequently Asked Questions web page.
